1. Who we are
MoxQuote is a quoting, proposal and commercial-intelligence product operated by EaseHawk Technologies Private Limited (CIN: U62011DL2024PTC427769), a company registered in Delhi, India ("EaseHawk", "we", "us"). MoxQuote is part of the Moxsuite family of products. This policy explains what personal data we collect through MoxQuote and the moxquote website, why we collect it, how long we keep it, and the rights you have over it.
2. Scope and roles
For visitors to this website and for account holders, EaseHawk acts as a data controller. For the content our customers place inside MoxQuote — their clients' names, contact details, conversation excerpts, quotes and proposals — EaseHawk acts as a data processor on the customer's instructions. Customers are responsible for having a lawful basis to process their own clients' data in MoxQuote.

4. Why we process it
- To provide the service — creating, sending, tracking and signing quotes and proposals; syncing with connected Moxsuite products.
- AI features — drafting proposals from conversation history, estimating scope and cost, pricing suggestions from your own win/loss history, and accept-likelihood bands. AI outputs are decision support: predictions are shown as bands, and no AI action sends anything to your client without human approval.
- Security and integrity — fraud prevention, audit trails, access control.
- Communications — service messages, and product updates you can opt out of.
- Legal obligations — tax, accounting and lawful requests.
5. AI processing — what we do and don't do
MoxQuote's AI features read data already inside your workspace (deals, conversations, rate cards, historical outcomes) to generate drafts and predictions for you. We do not sell customer content, and we do not use one customer's content to provide services to another customer. Machine-generated Arabic content is flagged for human review before publication.
6. Sharing and subprocessors
We share personal data only with: (a) service providers under contract (cloud hosting, email delivery, payment processing, analytics, AI model providers) acting on our instructions; (b) other Moxsuite products you have connected, at your direction; (c) authorities where the law requires it; and (d) a successor entity in a merger or acquisition, under this policy. 7. International transfers
EaseHawk operates from India and serves customers across India and the GCC. Data may be processed in India or AWS regions in the Middle East such as the UAE, Bahrain, or Saudi Arabia. Where data leaves its origin jurisdiction we apply the safeguards required by the applicable law of that jurisdiction, including the UAE PDPL, KSA PDPL and Indian DPDP Act transfer provisions.
8. Retention
- Account data — for the life of the account plus [90 days] after closure.
- Customer content — until you delete it or your workspace is closed; backups purge within [35 days].
- Signature audit trails — retained for the enforceability period of the signed document, per applicable law.
- Billing records — as tax law requires (typically 7–8 years in India).
9. Your rights
Depending on your jurisdiction (India DPDP, UAE PDPL, KSA PDPL, or GDPR where applicable), you may have the right to access, correct, delete, or port your personal data, to object to or restrict processing, to withdraw consent, and to complain to your supervisory authority. To exercise a right, contact us at the address below; we respond within the statutory period. If you are a client of one of our customers (e.g., you received a proposal via MoxQuote), we will refer your request to that customer as controller.
10. Security
Workspace isolation on every record, encryption in transit and at rest, role-based access control, approval thresholds, and full audit logging on document and signature events. No system is perfectly secure; we notify affected users and regulators of qualifying breaches as required by law.
11. Children
MoxQuote is a business tool and is not directed at anyone under 18. We do not knowingly collect data from minors.
